Overview
Ask Ollie is an internal HR assistant operated by BitBear Systems. It helps authorized organization users search HR documents, ask policy questions, and route questions to HR for review.
Information We Process
We process account information from Google sign-in or email sign-in, such as your email address, name, and profile image when available. We also process organization membership records, uploaded HR documents, chat questions, AI responses, review requests, and application usage metadata needed to operate and secure the service.
How Information Is Used
Information is used to authenticate users, enforce organization access, answer HR questions from approved documents, maintain audit and review workflows, send invitations, improve reliability, and protect the service from abuse.
Service Providers
Ask Ollie uses Supabase for authentication and data storage, Vercel for hosting, OpenAI for AI document retrieval and responses, Google for optional sign-in, and Resend for invitation email delivery.
Access and Retention
Access is limited to authorized organization users and administrators. Records are retained as needed for HR operations, compliance, troubleshooting, and security unless deletion is requested by an authorized administrator or required by law.
