Terms of Service

The service
Ask Ollie provides document-grounded, AI-assisted HR information and a human review workflow. It is not legal, medical, tax, payroll, benefits, or employment advice and does not replace qualified HR professionals.
Customer responsibility
Customers control their workspace, users, documents, retention choices, and employment decisions. Customers must have lawful authority and provide required notices before submitting personal information.
Prohibited decisions
Ask Ollie must not be used as the sole basis for hiring, termination, promotion, compensation, discipline, benefits eligibility, disability accommodation, or another significant employment decision. Meaningful human review is required.
Sensitive information
Customers must not upload Social Security numbers, payment-card data, medical records, background reports, investigation files, or similarly sensitive information unless strictly necessary, lawfully authorized, appropriately classified, and covered by written safeguards.
Acceptable use
Users may not access another organization, evade rate limits, probe security, upload malware, violate law or third-party rights, impersonate others, scrape the service, or use output to discriminate or cause harm.
Customer data
As between the parties, customers retain rights in their data. Customers authorize BitBear Systems and its subprocessors to process it to provide, secure, support, and improve the service as described in the Privacy Policy and DPA.
Security and incidents
BitBear Systems maintains reasonable technical and organizational safeguards and will notify affected customers of confirmed breaches as required by applicable law and contract. Customers remain responsible for endpoint security and access administration.
Retention and deletion
Data is retained according to workspace settings, legal holds, applicable law, and the Privacy Policy. Authorized administrators may request export or deletion. Vendors may retain limited financial, security, or backup records where legally required.
Billing
Paid plans renew until canceled. Fees, taxes, usage limits, and trial terms shown at checkout apply. Failure to pay may result in suspension. Except where law requires otherwise, fees already incurred are nonrefundable.
Availability and output
AI output may be incomplete or incorrect. The service and third-party infrastructure may change or be interrupted. Customers must validate important answers against authoritative policy and law.
Liability and law
To the maximum extent permitted by law, the service is provided without implied warranties. Any negotiated order form or signed agreement controls over conflicting online terms. Contact hello@justaskollie.com for contracting details.
